We would love you to join our London team as a Front of House Coordinator.

As the face of Hotwire, you’ll to provide incredible service to everyone who visits – being personable and meticulous in any jobs that need carrying out day to day. You’ll play a key role in supporting us to be the best agency you’ll ever work with, by ensuring that the office runs smoothly every day, and that our fast-paced, exciting environment is constantly maintained to the highest standards. You’ll also need to be cool under pressure, with a number of changing priorities and a sometimes complex and high pressure meeting room system and office space.

 

Daily, You Will:

Run front of house and the office:

  • Be the first point of contact and the face of Hotwire, creating an industry leading front of house experience for all visitors and callers, both external and internal
  • Manage couriers and taxis, booking and receiving as necessary
  • Make sure that our front of house and wider office space is kept ship-shape, and be proactive in ensuring it is optimum for each visitor
  • Support the finance team with basic admin around team travel & spend
  • Ensure our meeting rooms are maintained, setting up for different requirements as necessary
  • Ensure that the wider office is tidy and presentable throughout the day
  • Come up with new and innovative ideas to make our front of house experience the best in the industry
  • Assist the teams to ensure they can work effectively

Office management:

  • Be part of our operations team, supporting on ad-hoc office and support tasks
  • Support with Health & Safety – making sure the office is compliant with UK law
  • Work with the finance team to liaise with suppliers for maintenance of office and office supplies
  • Make sure we have stationery and supplies we need for the office to run smoothly
  • Reconcile petty cash, credit card and budget expenditures on an ad hoc basis
  • Demonstrate professionalism when working with clients, prospects, vendors and colleagues

Internal office experience:

  • Organise team cocktails and events as required, along with our Summer and Christmas parties
  • Support on cultural activities within the business; spotting opportunities throughout the year for surprise and delight
  • Be an ambassador for the Hotwire spirit and culture

 

You’ll Bring:

  • At least 5+ years’ experience in a luxe customer service or front of house role
  • Proven ability to work at an incredibly fast pace, pivoting where necessary to create the best experience
  • Professionalism and great energy when dealing with clients, prospects and colleagues
  • The ability to demonstrate where you have previously proactively implemented changes within a work environment to improve efficiency or the atmosphere
  • Experience of working in a large team
  • Great organisation and prioritisation skills and an ability to work well under pressure
  • A high standard of written and spoken English
  • Real pride to your work and be proud of the office
